Ceres Community Project is Hiring a Bookkeeper Near Sebastopol, CA

DEPARTMENT: Admin

REPORTS TO: Director of Administration

LOCATION: Sebastopol Headquarters

FLSA STATUS: Regular, Part-Time, Non-Exempt

HOURS: 20-25 hours/week


Position Summary

The Bookkeeper is responsible for ensuring the accuracy and integrity of the accounting system by recording accounts payable and accounts receivable with accuracy and correct coding.


Essential Functions and Responsibilities

Bookkeeping 80%

  • Processes vendor invoices in bill.com daily.
  • Reviews and processes bank transactions that interface with accounting system daily.
  • Uploads EFTs documents to collaborative development/finance SharePoint site.
  • Scans checks into Exchange software; completes deposits in accounting system.
  • Syncs Certify expense reports to accounting system in a timely manner.
  • Manages the monthly client meal billing transactions and payments.
  • Books monthly and quarterly invoicing for government grants and contracts in partnership with the Program team and/or Grant Manager.
  • Records any outstanding receivables monthly per pledge log maintained by Development Dept.
  • Verifies that all vendor invoices and customer invoices have been booked by business day 6 following month end.
  • Reconciles accounting system’s account payables report with bill.com reporting monthly.
  • Addresses any questionable past due A/P or A/R entries.

Administrative 20%

  • Processes bi-weekly payroll with HR; serves as backup to HR for on- and off-cycle payroll submissions.
  • Interfaces with development team regarding efficient processing of donations and related reporting.
  • Makes regular post office, bank, and interoffice mail runs.
  • Special projects, as needed (i.e., grant support, new software implementation).
  • Supports the development and documentation of Standard Operating Procedures (SOPs) for the bookkeeping function.
  • Attends and participates in monthly staff meetings, weekly accounting and development meetings, and others as necessary.

Qualifications

  • A commitment to Ceres Community Project Mission and Operating Principles.
  • Experience with Quick Books Online, Bill.com, Certify, MS Excel, MS Outlook (email and calendar).
  • Detailed and highly organized.
  • Strong communication skills both verbally and in writing.
  • Ability to work well independently and as part of a team.
  • Ability and desire to be in a work environment that values working as a team, relationships and giving and receiving honest feedback.
  • 2 year accounting certificate and minimum 3 years experience in a similar role.
  • Non-profit experience desirable.

Founded in 2007, Ceres Community Project works to build healthy communities by restoring whole, organic and locally grown food to its place as the foundation of health, empowering youth, and connecting people in heart-centered ways to others and the earth.

Ceres Community Project's main program, Healing Meals for Healthy Communities, provides free and low-cost nourishing organic meals, nutrition education and caring support to people facing serious illness. All of the meals are prepared by teens that learn about growing, cooking and eating healthy whole foods and the connection between diet and health, develop life and work-ready skills, and discover their power to make a difference. The Healing Meals Program improves healthy eating behaviors among clients, teens and adult volunteers and educates the whole community about the link between healthy eating and the health of both people and planet. It also strengthens the social fabric of the community, another factor that is at the root of health. In times of disaster, Ceres is an emergency nutrition provider for our community.

In addition to operating three program sites in Marin and Sonoma counties, Ceres has trained 13 communities nationally to replicate our model.
